Cleaning and Maintenance
of your Rental Home
We pride ourselves on understanding the needs of both the owner and the guest. We have established certain cleaning and maintenance requirements for the properties we represent. It is important to remember your rental home will experience wear and tear. If you have a warranty on your property or any of your appliances, please provide us with that information so we may contact them quickly if a repair is needed. We have reliable, competent vendors that we utilize on an as needed basis. It is helpful for you to provide guest with operational instructions that you feel they should be aware of, such as pool, spa and electronics. Remember, we are just a phone call away!
Below is a description of the cleaning and maintenance categories we coordinate on your behalf.
Departure Cleaning
- Vacuum, mop and dust
- Wash bed linens and towels
- Clean refrigerator, microwave, stove, oven, and load and unload dishwasher
- Clean bathrooms
- Clean BBQ and patio furniture
- Remove all trash
- Report any damages or missing items to the office for follow through
Annual Pre-Season Cleaning
- Deep cleaning of the home interior including all shelves and cupboards
- Wash bed linens and dowels and reorganize
- Arrange for window cleaning including power washing the exterior and any floor to ceiling mirrors (Separate charge)
- Arrange for carpets, area rugs and upholstery to be professionally cleaned (Separate charge)
Dry-cleaning of comforters and bedspreads (Separate charge)
Required Monthly Maintenance
To maintain your home the following is a list of required monthly maintenance services. If you need referrals for any vendors, please contact our Customer Service Department
Landscaping for yard, courtyard or atrium
- Pest control monthly or quarterly
- Pool service two times per week
- Air conditioning and heating services twice a year
Inspection Procedures
We inspect before arrivals to ensure the property is clean and equipped with all soap and paper products. On large homes with pool and spas a complimentary walk-through with our guests is performed, ensuring their knowledge of equipment operation. Upon all departures from your home an inspection is completed. This includes looking for damages, securing the property and adjusting the thermostat to the appropriate temperature. During the summer and fall months, we complete an annual walk-through inspection of your property to ensure all minimum furnishings are there and in good working condition, make recommendations regarding repairs, upgrades, painting and cleaning.
Online availability calendars
and owners reservations
To access your property status, we have an owner’s link on our website so you may conveniently make reservations. Once we have your dates of use blocked out, we commence taking rental reservations. You may contact us by telephone, email or fax to change or add additional dates for your use. If you change your plans, please let us know immediately so we can make your property available to rent. We automatically schedule a departure cleaning on your departure date and this is billed on your monthly statement. During our busy season we require that we do the cleaning and the property is prepared for a guest arrival. Enjoy your personal use… leave the cleaning to us!
Personal Belongings and Golf Carts
Any personal items that you wish to leave in the property should be stored in a locked cabinet or closet whenever you are not using your home. We suggest an out of the way cabinet or closet, but leave some storage space available to guest. In addition, please do not lock up your circuit breaker box. We may need to access in case of emergency.
If you store a golf cart inside of your garage, please be sure to park it as far to one side as possible allowing plenty of space for guests to park their vehicle. We do not allow guests to use your golf cart, therefore we ask that you remove the key, cover and secure the cart.
The Management Agreement
Upon deciding to select us to represent your home, we prepare and mail the following documents for your review and signature.

- Owner Occupancy Calendar
- Property Information Form
- W-9 Form
Please review the Management Agreement carefully; it is a binding contract between us. The contract lists the rental rates for the different seasons. This contract also names Luxury Leasing, Inc. as your exclusive agent. You will not have the right to lease your property yourself or with other agencies while contracted with us. Our leasing agents will be happy to discuss any questions you may have.
Homeowners Accounts
You will receive a monthly statement of your accounts as well as a list of upcoming rentals. Some items will be automatically deducted from your rental revenue including maid service, maintenance repairs, travel agent referral fees and management fees. Be sure to keep your monthly statements. You will need them for tax filing purposes. We also send a yearly summary and a 1099 on gross rents earned.
How do I know when my home is rented?
You are able to monitor your rental activity online or call our office for rental activity. We DO NOT contact you to inform you of reservations and cancellations.
Expected occupancy and financial return
Your occupancy and financial return are based on the season, condition of the property, size and location of the home as well as any restriction you place; the less personal time you reserve, the more often we can rent your property. Our goal is to rent all of the homes that we represent as much as possible. Occupancy tends to run high during Thanksgiving, Christmas, New Years, Easter and during the months of January, February and March. Due to the existing variable, it is impossible for us to provide you with an expected income projection.
How do I get started?
Once we have previewed your property and determined a rental rate, we will prepare the documents for your review and signature. Upon return of those documents, we can commence marketing your home. We welcome your home to our highly successful rental program and we look forward to becoming your business partner.

We require each home in the rental program to be completely furnished and accessorized with a current décor which follows a consistent theme throughout the home. The appointment and décor will help build repeat guests for your home.

Bi monthly property check available for Owners in our leasing program.
This service includes:
- Check overall security of the property including doors and windows
- Flush water lines and check for water leaks under sinks, appliances, water heater, pool equipment and sprinklers
- Run dishwasher and washing machines to keep seals from drying and cracking
- Check that the pool service and gardener are maintaining the property
This service ranges from $75 to $125 per month depending on the size of the home.
